What it does
The Workflow List shows every workflow in a sub-account in one list: its name, whether it's published or a draft, and when it was last updated. Type in the filter box to narrow the list by name, then copy the matching names in one click. Each row also has a button to copy that workflow's ID.
Why it matters
Mature sub-accounts collect workflows the way garages collect boxes. There's the lender sequence, its copy, its copy's copy, three "test" workflows, and a "DO NOT USE" from last year. In GoHighLevel's Automation section you can browse workflows in folders and open each one, but you can't easily pull a plain list of names and statuses to share or paste somewhere.
That list matters when you're auditing a client before a rebuild, documenting a snapshot, writing an SOP, or checking which of the "approve" and "decline" workflows are actually live. It also matters when you need workflow IDs for an API call or an external integration. Doing that natively means opening each workflow. A workflow audit is also part of our sub-account onboarding checklist.
A plain list also makes cleanup safer. Before you delete or archive anything, you can paste the names into a document, mark which ones are live, and get the client to confirm. The published and draft labels show at a glance which workflows are actually running, and the update date shows which ones nobody has touched in a long time.
How it works
- Pick the sub-account and open Workflows.
- Sub-Account Manager loads every workflow and shows a count. Published workflows are marked green; drafts are gray.
- Type in the filter, like "lender", "approve" or "decline". The list and count update as you type ("8 of 112").
- Press Copy names to copy the matching names, one per line. With no filter, it copies all of them.
- To grab an ID, use the copy button on that workflow's row.
Good to know
- Names and status only. HighLevel's API shares workflow names, status and update dates, not the folder a workflow is in or its triggers and actions. To see what a workflow does, open it in GoHighLevel.
- Read-only. The list doesn't publish, pause, edit or delete workflows.
- Filtering is by name. Consistent naming ("Lender – Approve – SMS") makes the filter much more useful.
- Pair it with media. For a full asset audit, the Media Library Browser lists every file in Media Storage with its link.
- Copy IDs one at a time. Each row's ID button copies just that workflow's ID, which is what most API calls and integrations ask for.
- Reload after changes. If someone publishes or renames workflows while you're looking, reload to pull the current list.
- Empty accounts say so. A sub-account with no workflows shows a clear empty state instead of a blank list.
Questions
Can it show what's inside a workflow or which folder it's in?
No. HighLevel only shares workflow names and status through its API, not folders or the steps inside them.
Can I copy just some of the names?
Yes. Filter by name first, and Copy names copies only the workflows that match, one per line.
