What it does
The User and Permission Manager loads every user in a sub-account and lets you act on a selection of them at once. Five actions are available:
- Change permissions: pick permissions and turn them on or off for everyone selected. Everything else stays as it is.
- Pause all access: save each person's current permissions, then turn everything off.
- Restore access: put paused users' permissions back exactly.
- Reset password: give everyone selected the same new password, typed or generated.
- Change role: make the selected users admins or regular users.
Every action ends with a per-user result, so you can see who changed and who didn't.
Why it matters
Permissions change more often than people expect. A client wants reps locked out of Workflows. A rep goes on leave. A whole office needs Payments turned off during an audit. In GoHighLevel, each of those is a per-user edit in the sub-account's Settings, under My Staff (or Team), opening each person and flipping toggles.
Pausing is the hard one. HighLevel has no native "pause" that remembers a user's exact setup. You can delete the user or switch off their permissions, but bringing them back means rebuilding their permissions from memory. Pausing user access in GoHighLevel explains the native options and their trade-offs.
How it works
- Pick the sub-account, open Users, then Manage users. Users load with their name, email, role and user ID.
- Filter by All, Admins or Users, and search by name. Tick the people to change, or use Select all shown.
- Choose an action from With the selected users.
- For Change permissions, tick the permissions to change, choose on or off, and apply. A search box helps you find a permission like "workflows".
- For Pause all access, confirm. Each person's current permissions are saved first, then turned off.
- Later, select them and choose Restore access. The results say how many were restored exactly and how many got the standard permissions.
- For Change role or Reset password, confirm the choice and apply.
Good to know
- Paused users can still log in. They just see nothing. That's deliberate: the user, their assigned contacts and their history stay intact.
- Same browser for exact restore. The saved permissions live in the browser you paused from. Restoring from another device gives the standard permissions instead.
- Partial runs report clearly. If something stops partway, the results show who was updated before the error.
- Role changes keep everything else. Switching a user to admin or back doesn't rebuild their other settings.
- Adding new people is handled by the Bulk User Creator. To see what those users actually do day to day, Backup & Insights's Usage Analytics reports activity per user.
- Copy user IDs. Each user row shows their ID with a copy button, useful for API work or support tickets.
Questions
What does pausing a user do?
It saves their current permissions, then turns every permission off. They can still log in but see nothing. Restoring puts back exactly what they had.
Can I restore a pause from a different computer?
Paused permissions are saved in the browser you paused from, so restore from the same device for an exact match. Anyone restored elsewhere gets the standard permissions back.
