The media library is where a sub-account stores the images, videos, PDFs and other files it uses in funnels, websites, emails and other builders. HighLevel now calls it Media Storage, and it's reached from the left sidebar of the sub-account (as of October 2026). Files can be organized in nested folders, previewed, and inserted into builders without leaving the page, and each file has a public URL you can use elsewhere.
Media Storage is not the same as files attached to contacts. Files uploaded through a form's file upload field, conversation attachments and signed documents live with the contact or conversation, not in the media library.
In practice
Typical uses are uploading a logo and hero images for a funnel, hosting a lead-magnet PDF and pasting its link into an email, or storing a video for a course page. You can upload single files or whole folders, import from a URL, move folders, and download a folder as a zip. Deleted files sit in Trash for 30 days before they're gone for good.
The friction is in finding links. When a client asks for "the link to that PDF we used last year," you're clicking through folders and opening each file to copy its URL. Agencies that reuse assets across many sub-accounts repeat that hunt for each one.
Where it shows up in RGS Tools
Sub-Account Manager's media library browser lists every file in Media Storage with links you can copy, without digging through folders. Backup & Insights's file backup includes media along with contact files, attachments, call recordings, form uploads and documents.
