If you need to export call recordings from GoHighLevel, you'll find the native tools are built for listening to one call at a time, not pulling a whole sub-account's audio out. This guide covers every native route: downloading single recordings, using Call Reporting, and working with the API. Then it shows where those routes stall for agencies that need full call logs for compliance, coaching or disputes.
First, make sure calls are being recorded
You can't export what was never recorded. In the sub-account, recording is a setting on each phone number:
- Go to Settings > Phone Numbers.
- Edit the number.
- Enable Call Recording and save.
Menu labels can shift between releases, so treat this as the general location as of October 2026.
Recording laws vary. Some US states and many countries require every party's consent. Use a recording notice or whisper message where needed, and confirm the rules for your clients' markets.
Method 1: Download one recording at a time
For a single call, this is the fastest way:
- Open the contact, or open their thread in Conversations.
- Find the call in the activity stream. Recorded calls show an audio player.
- Use the player's download option to save the file.
This is fine for pulling one disputed call. It's not practical for "every call from last quarter," because you'd be opening contacts one by one and saving files with generic names you then have to rename.
Method 2: Call Reporting
HighLevel has a call dashboard under Reporting > Call Reporting. As of October 2026 it includes:
- Separate views for incoming and outgoing calls
- Filtering by individual numbers in the sub-account
- Status breakdowns (answered, missed, busy) and a top agents view
- A CSV export where you choose the columns
This is the right place for call volume and outcomes. For recordings, though, the export is a table of call data. HighLevel's documentation doesn't say the CSV includes recording files or playable links, so don't count on it as an audio export. Run a test export in your account to see what columns you get.
Method 3: Export call recordings with the API
If you have a developer, the Conversations API can get the audio out:
- List the calls. The "export messages by location" endpoint (
GET /conversations/messages/export) accepts achannelofCall, a date range, and cursor pagination of up to 1,000 messages per page. - Fetch each recording. The "get recording by message ID" endpoint returns the audio for a call message as a WAV file.
- Save and name the files. Store them with the contact ID, date and message ID in the filename so you can trace them back later.
Things to plan for:
- Rate limits. As of October 2026, HighLevel documents a burst limit of 100 requests per 10 seconds and 200,000 per day, per app per sub-account. One request per recording adds up quickly.
- Short-lived cursors. Export cursors expire two minutes after the last request, so a long job needs to keep moving or restart.
- Not every call has audio. Missed calls, voicemail-only calls and calls on numbers without recording won't return a file. Track which ones failed and why.
- Storage. A busy sub-account can produce gigabytes of audio. Decide where it lives before you start.
You'll also need a Private Integration Token or a marketplace app with the right scopes. See the Private Integration Token guide for setting one up.
What a useful call export looks like
Whether you build it or buy it, a call export that actually helps someone has:
| Column | Why it matters |
|---|---|
| Date and time | Lines up with disputes and complaints |
| Direction | Inbound vs. outbound |
| Contact name and ID | Joins back to your contact CSV |
| Duration | Filters out hang-ups |
| Has recording (yes/no) | Saves clicking dead links |
| Playable recording link | The reviewer doesn't need a HighLevel login |
| Conversation and message IDs | Traces back to the source record |
The "playable link" column is the one most homegrown exports skip, and it's the one compliance reviewers and clients ask for.
Where the native way gets slow
Single downloads don't scale. Call Reporting gives you numbers, not audio. The API works but needs code, rate-limit handling, storage and a way to share files with people who don't have a HighLevel login.
For agencies, it's also a per-sub-account job. If a lender, attorney or client asks for every recorded call for one contact or one month across a sub-account, someone has to stop what they're doing and build it.
How Conversation Exporter handles it
Conversation Exporter from RGS Tools exports calls, SMS and email from any connected sub-account to CSV.
- Call export with playable recordings: every call with audio gets a link that plays in the browser, with no HighLevel login needed. Each call row has a clear has-recording column, plus direction, duration, contact name and ID, and conversation and message IDs.
- Any date range, no row caps: a day, a month, or the whole history of the sub-account, including calls in conversations that started long before your range.
- Background exports: start a large export, close the tab, and come back to download it.
Recording links work for 90 days and are tied to your account, so run a fresh export when you need new links. If you need to keep the audio files themselves long term, Backup & Insights's file backup copies call recordings along with other files to cloud storage tied to your account.
Conversation Exporter is $67/mo per agency, covers unlimited sub-accounts, and comes with a 7-day free trial. For text history, see how to export SMS conversations from GoHighLevel.
Questions
Can I bulk download call recordings in GoHighLevel?
Not from the standard interface, as of October 2026. You can play and download recordings one call at a time from the contact's conversation, and Call Reporting can export call data to CSV. Bulk audio download takes the API or a third-party tool.
Where are call recordings stored in GoHighLevel?
Each recording is attached to the call entry in the contact's conversation. You play it from the conversation or contact record. Through the API, the Conversations endpoints return a recording for a call's message ID.
How do I turn on call recording in GoHighLevel?
Recording is set per phone number in the sub-account's phone number settings. Edit the number and enable call recording. Check the recording consent rules for the states or countries you call into.
