What it does
Every Conversation Exporter job runs on the server, not in your browser. Start an export, close the tab, and it keeps going. Recent exports lists each sub-account's latest job with its status: running (with a progress message and percentage), finished (with the row count and a Download button), or didn't finish.
If you keep the page open, it checks progress every few seconds and pops up a notice when an export is ready.
Each sub-account keeps its latest export, so the list doubles as a record of what you pulled last: the types, the date range, and when it finished. That's handy when someone asks for "the same export as last month, but updated".
Why it matters
Large exports take time because the HighLevel API has to be read one conversation at a time, with pauses to stay inside API rate limits. A year of history on a busy sub-account can mean thousands of conversations. Tools that run in the browser fail if your laptop sleeps, the tab reloads, or your connection drops partway through, and you start over.
Running exports server-side means a long job is something you start and forget. You can kick off three sub-accounts before a meeting and download them after. For the full picture on getting data out of an account, see backing up a GoHighLevel sub-account.
It also keeps the work off your computer. Nothing heavy runs in your browser, so a slow laptop or a flaky hotel connection doesn't matter. The only thing your browser does is check in for progress and download the finished file.
How it works
- Press New export, pick the sub-account, the types and the range.
- Press Check if you want to confirm the connection first. It shows how many conversations it can see.
- Press Export. The job appears at the top of Recent exports.
- Watch the progress text ("Scanning 412 / 2,906…") and percentage, or close the tab.
- When it's done, press Download. The file is named after the sub-account.
- Click a finished export to see its details. Use Run again for a fresh copy, or Test to recheck the connection.
Good to know
- One job per sub-account. If an export is already running for a sub-account, the form tells you to wait. Other sub-accounts can run at the same time.
- Failed jobs say so. An export that stops shows "Didn't finish". Open it for the reason, then run it again.
- Run again for fresh links. Recording links in each export last 90 days. Re-running gives new ones; see Call Export with Playable Recordings.
- Every sub-account, one dropdown. Connect your agency once and any connected sub-account is available in the export form.
- Check before a big run. The connection check reads the sub-account and reports a conversation count, a quick way to confirm the token works before you wait on a long export.
- Downloads use the sub-account name, so files from several accounts don't overwrite each other in your downloads folder.
Questions
Can I close my browser while an export runs?
Yes. The export runs on the server. Come back to Conversation Exporter later and the finished file is waiting under Recent exports.
Can I run two exports at once?
You can run exports for different sub-accounts at the same time. Each sub-account runs one export at a time.
