What it does
Conversation Exporter lets you set any start and end date, from a single day to the entire history of the sub-account, and exports every matching message with no row limit. Quick presets cover the common ranges: Last 7 days, Last 30 days, Last 90 days and This month. Or pick exact From and To dates.
It also gets one subtle thing right: it filters by when each message was sent, not when its conversation began.
That makes it practical to answer questions that span a long stretch of time: every call with one merchant since they first applied, a full year of texts before a carrier audit, or a complete record for a client who's leaving the agency.
Why it matters
Date filtering on conversations is trickier than it looks. HighLevel's conversation search applies date filters to when a conversation was created. A merchant you first texted in 2024 and called last week has a conversation created in 2024. Filter conversations to "last week" and that call can disappear. The more long-running your relationships, the more you miss.
Row caps cause the other problem. Many exports, native and third-party, cap results or force you to page through them. When the question is "every text this sub-account sent in Q3" for a carrier review, an export that stops partway is worse than none, because it looks complete. If you're planning a compliance pull, exporting SMS conversations from GoHighLevel explains the native limits in more detail.
How it works
- Press New export and pick the sub-account.
- Set the range:
- Click a preset (Last 7, 30 or 90 days, or This month), or
- Enter From and To dates. To get everything, set From to before the account existed.
- Choose the message types to include.
- Press Export. Conversation Exporter walks conversations from most recent activity backward and stops once it passes your start date.
- Inside each conversation, it reads messages newest first and keeps only those sent within your range.
- Download the CSV when it's ready. The row count is shown next to the download button.
Good to know
- Whole UTC days. The From date starts at midnight UTC and the To date runs through 11:59 PM UTC. Times in the CSV are UTC too.
- From must be before To. The export won't start if the dates are reversed.
- Big ranges take longer. A full history on a busy sub-account can run a while. That's what Background Exports is for.
- Choose types to trim size. A calls-only export of a year is much smaller than calls, texts and emails together.
- Recording links in long-range exports still last 90 days from the export, as described in Call Export with Playable Recordings.
- Same range, every type. The range applies to calls, texts and emails alike, so a combined export lines up when you sort by date.
Questions
Is there a limit on how many rows an export can have?
No row cap. The export includes every matching call, text and email in the range, however many there are.
Will it find messages in conversations that started before my date range?
Yes. It looks at when each message was sent, not when the conversation started, so recent messages in long-running conversations are included.
