What it does
Once a sub-account or a package is backed up, this is how files leave the vault. Two options sit in one panel:
- Zip files. Press Prepare download and Backup & Insights builds the backup into zip parts in your storage. Each part lists its file count and size and downloads straight from storage.
- Send to someone. Create a link that works for 1, 7 or 30 days, with an optional password. Active links are listed with copy and turn-off buttons.
For a whole sub-account, a File list (CSV) link gives you the manifest. For a package, part 1 contains contacts.csv and the file list.
Why it matters
Getting thousands of files out of a CRM is where many backups fail in practice. A single giant download times out. A link straight into raw storage is hard to hand to a client. Emailing attachments doesn't scale past a few files. And handing over a folder of files with no index means nobody can tell which statement belongs to which merchant.
GoHighLevel doesn't offer a bulk file download, as of October 2026. Even after you've backed files up, you need a sane way to hand them to an owner who's leaving, an auditor, a lender or a rep. Downloading all files from GoHighLevel contacts covers the manual route and why it's so slow.
Share links fit the cases where the recipient shouldn't have access to anything else: a departing client taking their files, an outside reviewer, or a partner who needs one sub-account's documents. They get exactly that download for a limited time, and you can cut it off whenever you want.
How it works
- Back up the sub-account with File Backup, or build a rep package.
- Open the download panel for the sub-account or package.
- Press Prepare download. Parts show as queued, zipping, then ready. You can close the panel while it builds.
- Press Download on each part.
- To share instead, choose how long the link works, optionally enter a password, and press Create link. The link is copied for you.
- Send the link, and send the password separately.
- Use Turn off this link to end access early.
Good to know
- Downloads come straight from storage, so large backups don't run through a slow middle step or time out.
- Rebuilding replaces parts. Preparing the zips again replaces the current ones.
- The manifest ties files to contacts. Use the file list CSV to match each file back to its contact, opportunity or conversation.
- Terminal users can use the classic download page, which includes an rclone command.
- Password-protected links say so when copied, as a reminder to send the password another way.
- Packages and whole accounts work the same way. The same panel handles a single rep package or an entire sub-account's backup.
Questions
How long do share links last?
You choose 1, 7 or 30 days. You can turn a link off at any time before then.
Should I add a password?
It's optional but recommended. Without one, anyone with the link can download. Send the password separately, by text or call.
