What it does
Rep Packages hands a rep a set of contacts with their documents. You filter the sub-account to the contacts you want to distribute, choose how many go in a package, and Backup & Insights picks that many at random from contacts that haven't been packaged yet. Those contacts are locked to the package, so the next package can't include them.
Each package can be downloaded as zip parts, sent as a share link, or copied into another sub-account.
Because each package is a random draw from what's left, the split is fair by default. Nobody hand-picks the best leads, and the order contacts were added doesn't decide who gets the newest ones.
Why it matters
Splitting aged leads, a purchased list, or a book of business between reps is common, and it's messy in GoHighLevel. You can assign contacts to users in bulk from a smart list, but there's no built-in random split, no guarantee one rep doesn't get another's leads, and no way to hand over each contact's documents along with it. Reps working out of a separate sub-account need the files too, not just a CSV. Splitting leads between reps in GoHighLevel covers the native round-robin and bulk-assign options.
How it works
- Back up the sub-account with File Backup.
- Open Breakdowns, filters and custom exports and filter to the pool you want to split, for example contacts in Texas with at least three documents. Tick Only not packaged yet.
- Under What goes in a package or export, choose contact columns, custom field columns, and which documents to include.
- Pick folder names: contact ID, company name, "Last name, first name", "Company - first last", or a custom pattern like
{Company Name} - {Last Name}. - Enter how many contacts and press Package random.
- Repeat for each rep. The pool shrinks as contacts are packaged.
- Download the package, send a share link, or copy it to the rep's sub-account.
Good to know
- contacts.csv always lines up. It always has the contact ID and a Folder column, so the file list matches whatever folder names you chose.
- Blank and duplicate folder names are handled: blanks drop out, and duplicates get the contact ID added.
- Releasing a package puts its contacts back in the pool so they can be packaged again.
- Not enough contacts left? You'll be told if the pool is smaller than the number you asked for.
- Delivery options: Zip Downloads and Share Links and Copy to Another Sub-account.
- Packages are listed on the sub-account with their contact counts, so you can see what's been handed out and how many contacts are left in the pool.
- Export without locking. If you just need a one-off download of matching contacts, Export all matching skips the pool entirely and doesn't lock anyone.
Questions
Can the same contact end up in two reps' packages?
No. Packaged contacts are locked, so they aren't handed out twice. Release a package to put its contacts back in the pool.
What does a rep receive?
A download with contacts.csv, a file list, and each contact's documents in its own folder. You choose the columns, the documents and how folders are named.
Can I put a package into the rep's own sub-account?
Yes. A finished package can be copied into another sub-account with Copy to Another Sub-account.
