What it does
Copy to Another Sub-account takes contacts from a backed-up sub-account, either all of them or one rep package, and creates them in a different sub-account. Along with each contact you can bring:
- Documents, uploaded into the matching file-upload fields
- Custom field values
- Opportunities, with pipelines matched by name
Every copied contact gets a tag (by default vault-push: plus the source sub-account's name) so you can find them in the target.
The preview is where you catch problems. It checks the target's fields before anything is created and lists each custom field involved, showing whether it will be created or skipped in the target. If the numbers look wrong, change the scope or switches and preview again.
Why it matters
Moving contacts between sub-accounts happens more than it should: a client splits into two locations, a rep moves to their own account, a test account becomes production, or two accounts merge. GoHighLevel can export contacts to CSV and import them elsewhere, but the CSV doesn't carry files, and the import won't upload documents into file fields. Custom fields have to exist in the target first, and mapping them by hand for every import is slow and error-prone. Re-importing to fix a mistake risks duplicates.
Moving contacts and files between GoHighLevel sub-accounts explains the native CSV route in detail and where it stops.
Pipelines are the other sticking point. Opportunities only make sense if they land in the right pipeline and stage, which is why opportunities are optional here and matched to the target's pipelines by name. It's worth checking that the target's pipeline names match before you turn this on.
How it works
- Back up the source sub-account with File Backup.
- Open it in Backup & Insights and choose Copy to another sub-account, then New copy.
- Pick the target in Copy into, and choose What to copy: the whole sub-account or a finished package.
- Set the tag, and switch Documents, Custom field values and Opportunities on or off.
- Press Preview. Backup & Insights checks the target's fields and shows the contact count, document count, total size, opportunities, and each custom field with what will happen to it in the target.
- Read the request estimate. It tells you roughly how many API calls the copy needs and how many days that takes at HighLevel's 200,000-per-day limit.
- Press Start copying and follow progress in the sub-account's copy list.
Good to know
- It's a copy. The source isn't changed, and nothing is deleted anywhere.
- Idempotent. Every created item is recorded, so running the same copy again updates instead of duplicating.
- Changing options resets the preview. Preview again before you start.
- Big copies take days, not hours, when they exceed the daily API limit. Progress continues on its own.
- Inactive sub-accounts aren't offered as targets.
- The tag is your undo list. Filter the target by the copy tag to see everything that came across in one smart list.
Questions
Does copying change the source sub-account?
No. It's a copy. The source sub-account and your vault records are never modified, and nothing is deleted in GoHighLevel.
What happens if I copy the same contacts again?
Contacts are matched one by one, so copying again updates them instead of making duplicates.
How are opportunities handled?
Optionally. Turn on Opportunities and pipelines are matched by name in the target sub-account.
