What it does
Owner Reports turns a sub-account's usage into a clean, read-only page you can send to the business owner. One link opens an account activity report showing new contacts, messages sent and received, calls, talk time, active users, opportunities won and won value, and appointments, plus a daily activity chart and a team table.
The owner picks 7, 30 or 90 days at the top and can print it or save it as a PDF.
Why it matters
Clients pay for software their team is supposed to use. When renewal comes around, "is my team actually using this?" is a fair question, and agencies that can answer it with numbers keep more clients. The team table shows each user as Active, Low or Inactive, which tells an owner exactly where to follow up.
Natively, sharing activity means either giving the owner a login and walking them through reporting, or taking screenshots and assembling a report by hand every month. Neither scales across a roster of clients. A link the owner can open any time, that updates as you back up, removes the monthly busywork. For ideas on what to put in front of clients, see building a GoHighLevel user activity report.
Turning a link off is just as simple, which matters when an owner leaves or a client relationship ends. You don't have to remember who has a login, because nobody does.
How it works
- Make sure the sub-account is backed up with Team activity and Messages & recordings on, as described in Usage Analytics.
- Open Usage in Backup & Insights and pick the sub-account.
- Press Owner report link. A link is created and copied to your clipboard.
- Press Open to check it, then send it to the owner by email or text.
- The owner opens it, picks 7, 30 or 90 days, and uses Print or save PDF if they want a file.
- To revoke access, press Turn off link. To replace it, make a new link; the old one stops working.
Good to know
- Read-only. The report shows activity. It doesn't expose contacts, messages or files.
- Team status. Active means activity on 3 or more of the last 7 days. Low means some activity in the last 30 days. Inactive means nothing in 30 days or more.
- Talk time adds up call length.
- Freshness. The report reflects the latest backup, so a monthly schedule means monthly numbers.
- One link per sub-account. A new link replaces the old one, so you control who has access.
- Printing. The report is laid out for paper, so Print or save PDF gives a clean page for a monthly review meeting.
- Owners pick the range. The 7, 30 and 90 day buttons sit at the top of the report, so owners can look back further without asking you for a new link.
