Preview Files in GoHighLevel Without Downloading Them

How to preview files in GoHighLevel without downloading: what the Media Library and contact Docs and Files tab do natively, and where a Power-Up helps.

A client uploads a PDF, a photo of an ID, or a signed form, and you just need to see it. Too often that means clicking, waiting for a download, opening the file from your Downloads folder, and doing it again for the next one. This guide covers every native way to preview files in GoHighLevel, where each one stops working, and what to do when you review files all day.

Where files live in GoHighLevel

Before you can preview a file, you need to know which "place" it's in. GoHighLevel stores files in a few spots, and each behaves differently.

Where the file is How it got there Native preview
Media Library (Media Storage) Uploaded by your team Built-in preview window, with size limits
Contact's Docs and Files tab Uploaded manually, or sent or received in conversations Depends on file type and browser
File upload custom field Contact or staff uploaded through a form or the record Depends on file type and browser
Conversation attachment Sent or received in a message thread Opens in the thread, or downloads

Preview files in the Media Library

The Media Library is the best native option. Media Storage is in the left sidebar of your dashboard. As of October 2026, here is how to preview a file there:

  1. Open Media Storage from the left sidebar in the sub-account.
  2. Navigate to the folder that holds the file.
  3. Select the file, or choose Preview from the right-click menu.
  4. The viewer that matches the file type opens in a window on top of the page.

HighLevel's changelog says the viewer supports PDFs, where you can browse pages, zoom, jump to a page and select text. It also handles Word documents, Excel and CSV files, audio, and text files.

Media Library limits

The preview has size caps. PDFs preview up to 50 MB, Word and Excel/CSV files up to 15 MB, and text files up to 5 MB. Larger files show a "Too Large to Preview" message with a download option. Spreadsheet previews also stop at a set number of rows and columns per worksheet.

Some types don't preview at all. PowerPoint files, ZIP archives, font files and legacy Word documents show a "Preview Not Available" message.

If you're sharing Media Library files with clients, our guide to Media Library links covers the URL side.

Preview files on a contact record

Contact uploads are where most agency staff spend their time, and where preview is the least consistent.

  1. Open the contact from Contacts or a smart list.
  2. Find the Docs and Files tab on the record. The tab name and position have changed over time, so look for it in the record's tabs or side panel.
  3. Open the folder you need. Manual uploads go to Internal, files sent or received through messaging go to Sent or Received, and custom field files sit in a nested Custom Fields folder.
  4. Click the file.

HighLevel's help center describes the mobile app's Docs and Files tab as a place to preview documents without downloading. On desktop, what happens when you click depends on the file type and your browser. Images and PDFs often open in a viewer or a new tab. Other types go straight to your Downloads folder. Test a sample of each file type your clients send, so you know what to expect.

File upload custom fields

If clients upload files through a form or survey, those files usually land in a file upload custom field. When you create the field, you choose between a single file and multiple files, and set a maximum count. The field can be attached to contacts, opportunities or companies. You'll find the files in the Custom Fields folder described above, or on the record where you placed the field.

Where the native way gets slow

The built-in options work for one file. They get tedious when you review many.

For one-off checks, none of this matters. It matters when file review is part of onboarding, compliance checks, or approvals.

Preview files in place with the File Preview Power-Up

File Preview is one of the three Power-Ups in RGS Tools. Power-Ups runs inside GoHighLevel itself. You add one line to your Custom JS, and the feature appears in the app you already use. The idea is simple: you look at the file where it is, instead of downloading it and opening it somewhere else.

Power-Ups is $19/mo per agency, with unlimited sub-accounts, a 7-day free trial and cancel-any-time billing. RGS Tools is built by Revenue Generating Solutions and isn't affiliated with HighLevel Inc.

If you also need the files themselves, not just a look at them, read how to download all files from GoHighLevel contacts.

Tips for faster file review

The short version

Use the Media Library when you want the best built-in viewer, and know its size and format limits. For contact files, check how each file type behaves in your own browser before you promise your team a quick workflow. If you review files all day, a Power-Up that previews them in place saves the repeated download-and-open cycle.

Questions

Can you preview a PDF in GoHighLevel without downloading it?

Yes, in the Media Library. Select the file or choose Preview from the right-click menu. Files over the preview size limit show a message and offer a download instead.

Why does a file download instead of opening in GoHighLevel?

Usually the file type isn't supported for in-browser preview, or the file is over the size limit. As of October 2026, types like PowerPoint and ZIP archives show a Preview Not Available message in the Media Library.

How much does the RGS Tools File Preview Power-Up cost?

File Preview is part of Power-Ups, which is $19/mo per agency with unlimited sub-accounts. There is a 7-day free trial and you can cancel any time.
